Version 5.801 Beta is now available for downloading. This is the beginning of a new Beta cycle that will run for several months and eventually include a lot of new features. Any merchant with a current Order Manager support contract is welcome to try the Beta version. Just contact our Sales department for permission.

Here is a list of new features in version 5.801:

Major New Features

New Main Menu with Quick View for current day sales information.
New Stats Dashboard feature displays charts and graphs of sales, inventory movement, etc.
Order States functionality. Lets you define states such as On Hold, In Production, etc., then specify what can be done with orders in each State.
Improved support for Access 2007, Network Solutions, ChannelAdvisor, eBay Blackthorne and Volusion.
Added options to use color to highlight backorders, drop shipped items, etc. at Enter Manual Orders and View Orders.
Added Road Trips and Trade Shows for taking sales and delivering orders outside of your normal location (available in Enterprise Version only).

New Main Menu
Improved look-and-feel.




Click the Quick View tab for up-to-the-minute details on the current days sales. Note: The Quick View data can be hidden from users who should not have access to this information.

Order States

The Order States feature lets you define certain states that an order may be in, such as on-hold, in production or on lay-away. You can then specify what functions can be performed on orders in each state. For example, you can prevent on-hold orders from being approved, or in production orders from being shipped, and so on. The state of each order can be viewed and edited at the View Orders screen by users with the appropriate permissions. Order states can be highlighted with different colors to help draw the users attention to critical states.

For Enterprise Users
Purchase Order Auto-Add system rewritten for improved speed
New Road Trip system for handling outside sales. Each Road Trip can include one or more Trade Shows. Road Trips can also be used by outside salespeople for taking orders on a laptop computer. Inventory can be checked out to Road Trips and imported into the Road Trip at a remote location. At the end of the Trip, new orders, customers, quotes, etc. can be imported back into the main store file, and un-sold stock can be returned to inventory. Click here for more details
SwitchStores revised to prevent SQL Views from being linked and causing prompts to select a primary key.

New and Revised System Parameters

These parameters use color to highlight certain orders and line items at View Orders and Manual Orders:

ReferralSource and list "Referral List": These affect the Referral field at Manual Orders. (This will also be added to View Orders soon.) If set to Data, it will list all entries that are found in the Referral field in existing orders (may be slow if there are a large number of them). If set to List, the field will get its entries from the Referral list at the List Maintenance screen.

PackingAllowIfDoNotShip, QuickShipAllowIfDoNotShip. If True, when you try to pack an order from a customer marked Do Not Ship To, the program will warn you but allow the order to be shipped. If False, you will not be able to ship the order.

PackingLookbackDays, QuickShipLookbackDays. How old an order can be packed? Enter the number of days. Uses Order Date. Enter zero to ignore the date.

DropShipPurchaseOrdersShowCost. If True, Drop Ship Purchase Orders will show the cost of the products.

The following parameters can now be set on a cart-by-cart basis, as well as globally:

View Orders
Added View Item button.
Added display of previous orders from current customer to RFM (Recency, Frequency and Monetary Value) screen.
Added options to use color to highlight backorders, drop shipped items and approved vs. pending orders. See new system parameters, listed above.
Changed label of Entered By at View Orders to Salesperson. Added Edit button for Salesperson, which is controlled by system parameters AllowEditSalespersonForWebOrders, AllowEditSalespersonForManualOrders and AllowEditSalespersonForPOSOrders.

Manual Orders
New consolidated form to handle carry forwards, notes, credit cards and ship-to addresses for existing customers at Manual Orders. Lets you select credit cards and ship-to addresses from any previous order for the current customer.
Added display of previous orders from current customer to RFM screen.
Added View Customer and Order History buttons (replaces View Last Order)
Added options to use color to highlight backorders and drop shipped items. See new system parameters, listed above.

View Inventory
Added Margin info to Pricing tab
Added buttons for View Adjustments and Purchase Order Status

View Customers
Added Apply Payment button. Lets you enter a payment and apply it to multiple orders from the current customer

Multi Record Editor
Added Margin info to Price Changes tab
New parameter LogMultiRecordEditorChanges. If True, the program will add a note to each item showing the old and new values whenever a field is edited at the Multi Record Editor.

Purchase Orders
Auto-Add system rewritten for improved speed, especially for Enterprise users.

Shopping Cart Integration Improvements
Added full support for the Network Solutions shopping cart (the new replacement for MonsterCommerce)
Added support for importing external auction and transaction IDs from ChannelAdvisor. Added search capabilities for those fields on the Orders Filter and also added them to the Order Details.
Support for eBay Blackthorne SQL Server version:
- Can import and export based on multiple status
- Support for multiple adjustments, surcharges and insurance fees
- Supports importing separately form multiple seller accounts
- Exports can be triggered automatically by status updates
Support for Volusion status updates

Misc
Revised multiple forms so they do not cause "save changes" dialogs when closing them in Access 2007.
Added new options for the report SalesByProductTemplate
Added new option for CustomerStatementTemplate
Added parameter and option to have manual orders use the default credit card gateway even if an order is assigned to a shopping cart
Added new parameter SaleOrCaptureUseGrandTotal to allow the system to use the Grand Total of the order to be used for the capture/sale amount instead of the remaining balance due. Only applied if Charge Card At Import or Capture At Import is true. Only applies to approved orders.
Added test for presence of Ship To Company Name to Approval Rules.
Added email template tags EmailFromName and EmailFromAddress. To use them, insert the tag, then add a comma and the name or email address that you want the emails using that template to come from.
Added email tags for OptionListName01-10 and SelectedOptionCode01-10. The Option List Name is the name of the list (e.g. Color, Size, Style, etc.). The Option Code is the short code for the selected option (e.g. XL for Extra Large).
Added option to Suppliers to attach drop ship PO text files to drop ship emails.
Added an option to print labels for assemblies and parts when building and breaking assemblies. When breaking assemblies, you can choose which parts have labels printed. The parameter AssemblyLabelTemplate has been added to go along with this option. Selectable templates include all of the standard barcode label templates.
Added support for ShipRush v6. The parameter ShipRushVersion has been put back into the program to so you can choose whether to use ShipRush v5 or v6.
Changed Quote report to display all options instead of just 1-5.
Added Delete (report) From Menu button to Custom Report Maintenance.
Eliminated the use of three custom controls that prevented some Access forms from being edited by users. The three controls that are no longer used are ctDate.ocx, ctTree.ocx and ctHTML.ocx.
In the Security System, when you create a new Security Group, if you copy the Admin rights to that group they will now copy properly. However, only members of the Admin group can change security settings.

We know this is a busy time of year for many of you, but any testing you can do with this Beta is greatly appreciated. We will try to respond to any problems ASAP.

That's a heck of a list! Looks like there are some great updates coming.

Is it required for all users to be on the same version of SEOM? I'd love to beta test, but I'm not inclined to put Beta software in a production environment.

Is it possible for me to use the beta version and others in the office to use 5.610?

That should work. Here's what to do:

1. BACK UP YOUR DATA FILE!!!
2. Get everyone out of the Order Manager.
3. Run the Beta version. It needs exclusive access to the data so it can add some fields and tables.
4. Once the (new) Main Menu appears, everyone else can get back into the program.

That should work with recent releases (5.6xx), but I can't promise it absolutely. If you run into any problems, we should be able to fix them for you.

The other thing you can do is install the Beta release in a different folder (or on a different computer), and just try it out with a test data file.

Ahh, beta testors.. I used to be one, please re-activate my account for beta downloads.. I need the PO update..

Installed and working just fine on Access 2007. Ran the appropriate installer for Access 2002 on another computer though (after accidentally trying to install the 2007 version on that computer first), and now I'm getting an error message that reads "Bad library file (SEOM2002.mde) - must be version 3.4 or higher - can't continue!" whenever I try to run order manager on that computer.

First let me say that this beta has some terrific improvements. Great job!

I did find a couple of minor issues though on my Vista / Access 2007 SP1 machines using Order Manager 5.801 Beta Standard Version for Access 2007.

When I select "Purchase Order Status" from the "View Inventory" screen, I am still getting the Access 2007 popup window asking if I want to save changes to the design of the form 'PO Expected Dates'?

Also, when I select "View Adjustments" from the "View Inventory" screen, I get the following error:

"The expression On Enter you entered as the event property setting produced the following error: The expression you entered has a function name that Stone Edge Order Manager can't find."

I did NOT get either of these errors on my XP / Access 2003 SP3 (with hotfix) machines that are also running OM 5.801 Standard for Access 2007 Beta.

One more nit -- When I click on Referral Edit from the View Orders pricing tab, it only gives me the ability to type in a referral source even though I have list selected in parameter ReferralSource. It seems that the list should be visible to select from a predetermined list. We need this for orders imported from our website.

On the Manual Orders window, the list capablility works correctly.

On my Access 2007 SP1 computer, after completing changes to QOH via the Multi-Record Editor, I am still receiving the following popup windows:

1. Save changes to the following objects?
Form: Customer Export Subformthe inventory
Form: Inventory Editor
Form: View Orders

2. Do you want to save changes to the design of form: Customer Export Subform?

These popup windows existed before this beta, but since you are working on eliminating them I wanted to let you know where I am still finding them.

When doing a search on inventory, the first product viewed does not display the supplier info (supplier sku, unit cost, # on order and suppliers barcode). Subsequent products in the search list do display this information. Also, if after viewing the second product in the search list, you return to the first product then the information from these fields is visible.

Even when the information is not initially visible for the first product searched from the view inventory window, if you click on edit in the supplier area the fields will be populated in the edit product supplier information window.

This occurs on both Vista/Access 2007 SP1 and XP Pro/Access 2003 SP3 systems.

Give us a call on the NetSol import; the NS folks were having some problems with their API and we didn't do enough error trapping to report it properly.

Enterprise edition, create PO and giving me an error, missing table OrderStatusRules.

If we're going to get "margins" on the view inventory screen, can we actually get a field to enter the $ figure for the margin? I do a mathmatical equation on these to generate the price, and currently use the "salesprice" fields because I have no where else to put them..

Fantastic improvements, Not sure if its the new server, or the new updates, but I can load inventory in 1 second. Big improvement from before which took about 10 seconds to load. (4,750,000 products right now so 1 second is fabulous)

Love the colors on the view orders screen, suggestion, if selling product at a loss, on the view inventory screen, show the prices in red..

Okay - I ran out of time this weekend and wasn't able to complete my entire list, but here is what I have so far (in no particular order.) NOTE: All testing performed with 5.801 on Access 2003 SP2 and Windows XP SP3.

1. Security System: when setting Group Permissions, "Edit IP Address" and "Select This Customer's Orders" are listed under Main Menu instead of View Orders. (been this way for a while, just happened to notice now)
2. Security System: Quick View is not listed as a choice for Main Menu. The beta release notes mention security settings for Quick View, but I could not find any.
3. Main Menu: when clicking on Help or while waiting for Stats to load, the "Customers" header doesn't hide like the rest.
4. Main Menu: when you click Help, the caption changes to "Close Help!". However, if you click the help text to make it go away, the caption still says at "Close Help!" even though the help text has already gone away.
5. Stats - Orders: when choosing the Balance Due or Credit Due filters, >0.00 or <0.00 is used, which matches (for us) quite a few orders who have under a half cent due (i.e. orders show $0.00, but still appear) - View Orders uses different logic.
6. Stats - Orders: when choosing the Today's Orders filter, the Quick View button generates an overflow error.
7. Stats - Inventory: quantities for discontinued, drop shipped, and ignored are incorrect (all report zero here) - looks like the queries are using = -1 instead of = false.
8. Stats - Inventory: when choosing the Out Of Stock Items or Items Ready To Order filters, kits are included and should not be.
9. Stats - Inventory: the default top three choices includes "Open PO's" - the apostrophe in PO's does not match the actual filter so nothing works... choosing it again in Settings makes things work correctly.
10. Stats - Inventory: when choosing Items To Watch, kit parts are not included as sales. This was probably intentional (as most statistics here relate to money), but provides less flexibility to see how many of an item actually sold.
11. Stats - Inventory: if Items To Watch detail screen is visible and focus is changed to another window, the list of items appears on top of the detail screen and stays on top.
12. Stats - Inventory: on the Items To Watch detail screen, the arrows on the "Previous Item" and "Next Item" button appear as ?'s instead of actual arrows.
13. Stats - Sales: when viewing Trend - Overall data, totals for the current period are correct. However, when using Last 3/6/12, the first period's totals are incorrect. From what I see today, that period is always about 50% of what it should be.
14. Stats - Sales: when viewing "Month-to-date details" or "Year-to-date details", those headings are correct. However, when choosing previous months or years, the entire period is included, not just MTD or YTD. Need to be consistent or allow choice.
15. Stats - Calendar: Arrows to move forward and backwards by months are ?'s instead of actual arrows.
16. Stats - Settings: If a password is set, the second time you try to access Stats from the home page generates an "Object is closed" error.
17. Stats - Settings: As far as I can tell, the "Animate Stats" checkbox does nothing. Or if it does something, its not very obvious at all.
18. Stats - Settings: The only way to get the Items To Watch list to appear (so I can set which items to watch) is to set Items To Watch to be one of my top 3. However, Items To Watch is still available even if not in my top 3, so the window should always be visible under settings.
19. View Orders: When unapproving an order, the background color does not automatically switch from green to yellow.
20. View Orders: If you change any item on an order (delete/add/revise an item) and then try to change the Order Status (new system), a runtime error appears (complaining that the data has changed).
21. View Orders: If you delete ALL of the items off of an order, the following buttons create errors: Cancel Backorders, Force Backorder, Delete, QOH. (This has probably been a problem for a while, just never noticed.)
22. View Orders: The new View Item button is GREAT, but the "View Quantity Not Shipped & Backordered" button doesn't work to bring up the associated orders at View Orders (it works directly from View Inventory, but not if you use the View Item at View Orders).
23. Order Status: Some Order Status commands don't work as they should: ChangeTransactionDates does not stop someone from changing the date when initially entering the payment (it does stop the use of the edit button later, but the accompanying system parameter says both should be blocked); ChangeDropShipCosts does not stop the cost from being changed at Revise Item (even though ChangeCost does work); and MOVCancel works, but forgets to mention the order was skipped due to its status like the rest of the MOV commands do.
24. Multi Record Editor: the Test Changes button under price changes includes a column for Item Name, but the entire column is blank.
25. Purchase Orders: When trying to automatically generate items to order, I get "At cPOAutoAddEngine.CheckQueries: Error = 3146: cannot execute as the database principal because the principal "dbo" does not exist..." - was unable to do any testing on purchase orders due to this error.
26. Pack Orders: ShipRush v6 integration is a definite upgrade (ShipRush fixed a lot of the bugs that were bothering us in their software) - however, the compile problem (after importing the ShipRush code) still exists. After shipping the first box, we can't re-open StoneEdge until we Shift-Open and force a Compile (or use the OMCompiler) - not sure if a solution was ever found for this issue, but its still there.
27. Road Trip: After creating a road trip, editing the road trip does not pre-fill the salesperson. Then, when attempting to save, a "Data type conversion error" appears.
28. Road Trip: The knowledgebase document mentions importing in the road trip database should be blocked - as far as I can tell, it is not.
29. Road Trip: When the database is created, all quotes are transferred over. Unfortunately, this means all quotes re-import and duplicate when data is transferred back in (which takes forever as well). On top of that, the quote numbers also change - so, if a quote is generated in the Road Trip database, it will probably end up a different quote number in the main database. Maybe a similar approach can be taken as regular order numbers - maybe store the original quote number in the reference field?
30. Road Trip: re-importing a road trip database can only be done once (and the program blocks subsequent attempts to import). However, if another order is added to the road trip database after import, the file is importable again. Unfortunately, everything is re-imported (quotes, orders, inventory) - which can make a huge mess. (Duplicate orders, duplicate transactions, QOH doubles, etc.) Since the database is accessible during re-import, maybe the orders/quotes/QOH should be removed from the road trip database so only new information will be re-imported.
31. Road Trip: as far as I can tell, tracking numbers and notes are not re-imported for orders.
32. CheckTables: during upgrade/install, the OrderStateRules table is not created. The creation of the table in CheckTables has a field called Function, but it needs to be [Function] to work. On top of that, the command is missing its closing parenthesis - once those two things are fixed, the table gets created. (Alter command needs [Function] too.)
33. CheckTables: This might have just been my installation, but running CheckTables(True) results with an error of "The operation failed because an index or statistics with name 'SupplierSKU' already exists on table 'InventorySuppliers' - not sure why.
34. Disappearing StoneEdge: I thought this issue had been resolved (huge thread about it, which I cannot find at this time - strange) - but, either way, I did find the exact cause of this issue (but, since I can't find the thread, don't know if I had shared it.) Anyway, this version continues to disappear during database-intensive tasks - just ask for something big (customers who brought any product with *a* or something) then change focus while the task is running... 90% of the time, StoneEdge disappears. This is reproduceable throughout the program... (sometimes StoneEdge is such a diva, not wanting to lose focus.)

Which leaves me to my thoughts about some of the new features (34 bugs gets me at least some ranting space)...

35. Quick View - a very nice feature, but I can't double-click the orders to view them. Most of the windows which list orders have a 'View' button, but I'd rather just double-click the order to bring it up. It'd also be great to be able to view the orders from a specific import, and the ability to view a PO directly from the list here, instead of having to go to the Purchase Orders window and then re-type the PO number.
36. Stats - Orders: same idea here. Double-clicking orders should bring them up - but here, its even worse. Only the "Today's Orders" filter has a View Order button, all of the rest list orders but don't offer any way to view them. Adding both the button and the ability to double-click would be great here...
37. Stats - Inventory: Guess what? Yeah, a View Item button to bring View Inventory up with the item loaded. At least I'm consistent in my requests.
38. View Customers - Apply Payment: Like everyone else who does any Accounts Receivable - this window is great and a big timesaver. However, this window should provide a total of the "Amt. To Apply" column and then show the difference from your check amount. On top of that, it'd be nice if you could double-click in this column to automatically fill in the specific amount owed on that invoice (so you could double-click each invoice being paid, since the "Allocate Amounts" button only works if the customer pays old invoices first.)
39. View Inventory: The new LogMultiRecordEditorChanges parameter is great and provides some great tracking for inventory changes (every day I think - who the heck changed that? Now I actually know who to get mad at...) But, it'd be great if View Inventory provided the same notes for changes made there... (I know, harder task...)
40. Emails: it took a little guesswork to understand how to use EmailFromName and EmailFromAddress - based on your instructions, I tried to do <>,Jared - that didn't work. The knowledgebase document describes it quite well (which I found after finally figuring out the correct syntax of <>) - but, it also has "For example: <> <>." - not sure if that last <> is supposed to be there.
41. Assemblies: LOVE the labels. Just need a parameter to set the label checkbox to always be checked :)
42. Stats - Sales: When looking at the trend data and comparing to Last 3/6/12, MTD or YTD information might be more useful than the current comparison (or even providing a choice of either).

This is intentional. When you hover over something, help text is displayed at the top until you click the "Close Help!" button again.

For the main stat selections (Orders, Inventory, and Sales) this option will show the graphs and numbers growing. Turning it off will just immediately display the final number.

In the Stats screen->Inventory Options, All 3 of the drop downs are right justified, but the complete text is not visible.



Also, on the "Out of Stock" status report, the system shows parent items - not just the children. My guess would be that is by design, but I will never be ordering the parent SKU - always just the specific sizes underneith it. Could there be a tag to filter out the parent SKU's put in place??

When I click on MultiOrder View from the Orders button in the Main Menu, I get the following error:

At GetTemplateList: Error = 52: Bad file name or number

All of my systems are running the new beta 5.801. I just did another inventory search to confirm my findings and it is still occuring. I have Gotomypc if one of your guys would like to take a look.

Sorry to keep posting, but I just tried to email an invoice (pdf) to a customer, got an error that said the pdf could not be written, but then the program still sent the email. I would think that if the pdf failed to write, that the email would not be sent.
